How our voice assistant identifies itself, what it does with what you say, and how to ask for a person or to never be called again.
1. You are talking to an assistant, not a person
FIRA is a voice assistant built by AthonBound. It places and answers telephone calls on behalf of the company that uses it.
It says so at the start of every call, before anything else, and it never claims to be human. If you ask it directly, it answers directly. It is instructed never to pretend otherwise, and never to use a real person’s name as its own.
This follows Article 50 of the EU Artificial Intelligence Act, which requires that a person interacting with an AI system is informed of it: without having to ask.
2. What it does, and what it cannot do
It answers questions from a knowledge base written by the company using it, books appointments in that company’s calendar, takes your details, and passes you to a person when you ask.
It does not give medical, legal or financial advice, and it must not be used for emergencies. If you need urgent help, contact the emergency services in your country.
It can be wrong. It is built on language models, which can produce inaccurate answers. It is instructed to say it does not know rather than guess, and to have someone call you back: but no instruction removes that risk entirely. Anything that matters should be confirmed with a person.
3. Asking for a person
You can ask to speak to a person at any moment and the assistant will put you through, or take your details for a callback if nobody is available. You do not have to justify the request, and asking for a human is never treated as an objection to be overcome.
4. Asking not to be called again
Say so, in whatever words you like, and the request is recorded at that moment, during the call, and applies from then on.
Requests not to be contacted are kept indefinitely, and that is deliberate: deleting one after a retention period would mean calling you again. It is the one record we do not delete.
5. Recording
Calls are not recorded by default. Where a company switches recording on for its own account, you are told at the start of the call, before the conversation begins. Independently of recording, a written transcript of the call is produced so that the company can see how it went.
6. What is processed, and for how long
During a call we process what is said, the telephone number, the time and length of the call, its outcome, and any details you give: a name, a company, an email address, an appointment time.
Transcripts and recordings are kept for 90 days and then deleted, unless a longer period has been agreed with the company using the service or is required by law. Requests not to be contacted are the exception described above.

7. Which technologies are used
The assistant combines speech recognition, speech synthesis and a large language model, together with a telephony provider, and reads from a knowledge base written by the company using it. The specific providers are named in the data processing agreement given to every client, and the up-to-date list is available on request.
